Bulk Update (Customer) Organizations

When you support several hundred or even thousands of organizations, it can be tedious to edit each (Customer) Organization and make the same change over and over. Fortunately, Syncro provides a bulk update feature so you can quickly update your Organizations in just a few clicks.
The bulk update feature allows you to take many common actions for selected Organization records. However, if you don't find the action you want for your bulk update, you can make changes using a CSV file instead.
This document describes both methods.
Note: Customers are in the process of being renamed to (Customer) Organizations, and Contacts to End Users. You may see both in Syncro for the time being.
From the Organizations Table
To bulk update multiple Customer Organizations, follow these steps:
- Navigate to the Customers (or Organizations) tab/module.
- Check one or more boxes to the left of the (Customer) Organizations you want to update.
Tip: Check the box in the header row to select rows for all currently-loaded (Customer) Organizations (i.e., those visible with scrolling but not pagination). - From the Bulk Actions button menu, select one of the following:
- Edit: Opens a pop-up window where you can change fields related to Communications, Billing, and Tax for the selected Organizations and if desired, their Contacts/End Users too. Click Update Records to close the window and save your changes. You can also add or delete tags here. See (Customer) Organization Tags for more information.
- Bulk Manage Portal Users: Opens a pop-up window where you can change fields specifically related to the End User Portal for the selected Organizations and if desired, their Contacts/End Users too. You can enable/disable Portal access, change the permission group, and require/or not require MFA. Click Update to close the window and save your changes. - Archive: Displays a confirmation dialog where you can click Archive Organizations to proceed. You can view archived (Customer) Organizations using the Modules > Show Archived option. To unarchive, click the (Customer) Organization Name then select Actions > Re-enable. Note that you can NOT Bulk Re-enable multiple (Customer) Organizations.
- Delete: Displays a confirmation dialog where you can click Delete Organizations to proceed. (IMPORTANT: Unlike archiving, deletion is permanent.)
Tip: While you're bulk updating, Syncro displays the number of (Customer) Organizations you originally selected. However, you can also check the box to apply your changes to the full list of (Customer) Organizations that match any search criteria you had selected:
If no criteria was selected, checking this box offers a quick way to select ALL your Organizations instead navigating through multiple pages.
Using a CSV File
If you need to perform an update for many (Customer) Organizations or update fields the bulk update feature doesn't provide, you'll want to export the (Customer) Organizations, edit them in a spreadsheet program, then import them back into Syncro.
- Navigate to Reports > Customers - Customer Export.
Note: Syncro immediately downloads small files with a name like customers_dump_12-24-2024. However if it's a large file, Syncro navigates you to the File Downloads page. Refresh the page until you see the file, then click to download it: - Edit the file in Excel or a similar spreadsheet program. Be sure not to change the numbers in the id column:
See Customer CSV File Columns Reference for more detailed information. - When finished with your edits, save or export the file in CSV format.
- Back in Syncro, navigate to Admin > Customers - Customer Import.
- Click Choose File.
- Navigate to the file and double click it, then click Import:
Note: The import can take a while if the file is large. Syncro sends an email when the import is complete. You can also check progress under Admin > Reports - Import Results.
Example Situations
Bulk Manage Portal Users
Syncro doesn't automate enabling Portal Users, so the Bulk Update feature helps streamline this process. For example, after you import a (Customer) Organization via CSV, you can bulk enable access to the End User Portal for all their associated Contacts/End Users.
(Customer) Organizations Have Been Set to “No Email - Of Any Kind”
When Syncro detects a bounced email from a (Customer) Organization, their “No Email - Of Any Kind” box automatically gets checked. The (Customer) Organization's name also shows in Admin > Reports - Customers - Opt Outs By Customer, and you'll also be notified whenever you try to email them through Syncro. This behavior is designed to keep your emails from getting blacklisted and/or flagged as spam.
If you have a large number of (Customer) Organizations with this setting checked in Syncro, you can use the bulk update feature in the UI to reset them.
If you want all of your (Customer) Organizations to receive email, you can also use the CSV and set the cells in the no_email column to False. (If you don't see a no_email column in your exported file, you can add it.)
You Want to Delete All Your (Customer) Organizations' Phone Numbers
In the CSV file, replace phone numbers in the appropriate columns with the text "Delete." (Be sure to leave the phone column header as is.)
Bulk Delete (Customer) Organizations
To bulk delete (Customer) Organizations, you can either use the bulk update feature in the UI, or disable them in a CSV file. To do the latter, set the Disabled column in the CSV to True for each (Customer) Organization you want to delete.
