Archive Assets

This topic explains what archived assets are, who should use the Archive Assets feature, and what happens to an asset when it is archived.
Overview
Syncro's Archive Assets feature provides a structured way to retire devices from active use while preserving historical visibility across tickets, alerts, and reports. When an asset is archived, it transitions into an inactive state: the Syncro agent is deactivated or removed during its next check-in, and real-time tools such as online status and remote access are suppressed or removed.
Archived assets remain visible and clickable from any associated RMM alerts, tickets, and chats. Wherever an archived asset appears, a banner or indicator identifies it as archived. When viewing an archived asset's details, you will only see the System Info subtab, and the only available actions are Merge and Delete. Archived assets can only be merged into active ones.

Key Components
Archived Asset
An asset that has been transitioned into an inactive state. The Syncro agent is deactivated or removed during its next check-in. Real-time tools such as online status and remote access are suppressed or removed. Historical data, including associated tickets, alerts, and chats, remains visible and accessible.
Archive Banner
A banner or indicator that appears wherever an archived asset is viewed in Syncro, signaling that the asset is inactive. This appears when viewing the asset's details, as well as in associated tickets, alerts, and chats.
Asset Activity Audit Report
A report that tracks asset activity across your account. Archived assets are excluded from this report by default, but can be included if needed. See Asset & RMM Reports.
Use Cases
Archive assets to:
- Keep the active asset list clean when retiring, replacing, or decommissioning devices without losing historical data.
- Reflect bulk device transitions efficiently when replacing laptops or other devices in volume.
- Maintain historical data for compliance audits without affecting active operations, billing, or usage data.
- Provide a clean record of all devices associated with a client site during offboarding while removing them from active counts.
Best Practices
- Rather than archiving on an ad hoc basis, set a schedule that makes sense for your business, whether monthly, quarterly, or as needed as you process decommissioned machines. This keeps your active asset lists accurate and your billing clean.
- Consider moving assets to a dedicated policy folder with no associated recurring invoices and running offboarding scripts before finally archiving the asset. This staged approach reduces risk and gives you time to verify that everything is handled correctly.
- Archived assets retain their history, and you can take actions such as reviewing archival history, merging, or deleting them. Use this visibility to maintain accountability and catch any accidental archiving.
Conditional Behavior
- If an asset is viewed anywhere in Syncro after being archived, a banner or indicator appears to identify it as archived.
- If an asset is associated with a Network Discovery Profile as the Primary Network Node, or with an active SNMP configuration, it cannot be archived.
- If an archived asset's Details page is opened, only the System Info subtab is displayed and the only available actions are Merge and Delete. Archived assets can only be merged into active ones.
Notes
- The Asset Activity Audit Report excludes archived assets by default. You can choose to include them when running the report.
- To keep a Syncro Device active but remove the agent, uninstall it remotely using the uninstall script, or uninstall the Syncro Windows Agent directly from the machine using Add or Remove Programs.
Archive a Single Asset
Use this procedure to archive one asset from its Details page.
Prerequisites
IMPORTANT: You cannot archive an asset that is associated with a Network Discovery Profile (as the Primary Network Node) or an active SNMP configuration.

Steps
- Navigate to the Assets & RMM tab.
- Navigate to the specific asset. (See also: About the Asset Details Page.)
- Select Archive from the Actions menu.
- In the confirmation window, click Archive Assets.
Result
The asset is archived. Its Details page displays the System Info subtab only, and the available actions are limited to Merge and Delete.
Archive Multiple Assets
Use this procedure to archive two or more assets at once from the Assets table.
Prerequisites
IMPORTANT: You cannot archive assets that are associated with Network Discovery Profiles (as the Primary Network Node) or active SNMP configurations.

Steps
- Navigate to the Assets & RMM tab.
- In the Assets table, select the checkboxes for each asset you want to archive.
- From the Bulk Actions menu, select Archive.
- In the confirmation window, click Archive Assets.
Result
The selected assets are archived. When viewing an archived asset, only the System Info subtab is displayed, and the available actions are limited to Merge and Delete.
